Position Title: Administrative Assistant, Inclusive School and Community Services

Work Location: Dr. Bette Stephenson Centre for Learning (36 Regatta Ave, Richmond Hill, ON L4E 4R1)

Salary: $58,785 - $64,843

In compliance with Board policies and procedures, this position is responsible for providing administrative support to the Superintendent of Education, Caring and Safe Schools and International Education in the performance of their administrative and portfolio responsibilities and where appropriate responds to inquiries from both internal and external stakeholders of the Board.

MAJOR RESPONSIBILITIES:
To manage and facilitate the daily administrative operations of Inclusive School and Community Services.

To prepare draft correspondence, calendars, reports, minutes and provide on-going administrative support for the Administrators.

To prepare and facilitate the production of the Board’s Multi-Faith Calendar, including researching faith days and updating faith day summary for the system wide weekly summary communication.

To provide assistance to schools, staff and the general public regarding equity issues and general school/administrative inquiries.

To serve as the first-contact in Inclusive School and Community Services by assisting and responding appropriately to visitors.

To initiate, prepare, manage and monitor office activities, including petty cash, the payment of invoices, troubleshoot technical equipment and provide assistance in emergency situations.

To create and distribute flyers, invitations, newsletters and other correspondence for Board sponsored conferences/workshops and in-service activities.

To assist in the logistical tasks related to delivering, planning and implementing conferences.

To attend assigned committee meetings and perform various clerical and administrative actions arising from committee deliberations.

To manage and reconcile the Inclusive School and Community Services budget.

To perform other duties as assigned.

EDUCATION, EXPERIENCE AND QUALIFICATIONS:
A two year college diploma in business, office administration or a related discipline, as approved by the Board, is required.

Minimum two years related experience is required.

Effective verbal and written communication, interpersonal and computer skills are required.

Ability to deal effectively with a variety of individuals and groups both within and outside the Board is required.
